Scope
This policy applies to organizations, teams, and any other business entity purchasing or using Kira for commercial purposes ("Business Customers"). Whether you are a small team using Kira to manage internal workflows or a larger organization deploying agents across multiple departments, this policy applies to your use of the platform. Individual users operating under a personal account are covered by our Individual Terms of Service instead.
Two Kinds of Data, Handled Differently
Not everything that moves through Kira is the same kind of data, and being precise about this distinction matters more than most policies bother to acknowledge.
Customer Data is the content you and your team actively create, submit, or upload to the platform. This includes emails, documents, notes, call transcripts, calendar information, and anything else your organization generates or brings into Kira in the course of using it. You own this outright. It belongs to your organization, not to us, and we treat it accordingly.
Other Information is the operational and administrative data that Kira itself generates in order to run the service. This includes things like login timestamps, feature usage patterns, billing status, and system diagnostics. We use this information to operate, secure, and continuously improve the platform. It is handled separately from your Customer Data and serves a fundamentally different purpose.
Understanding this distinction matters because your rights, our obligations, and the rules governing each type of data are not identical. Customer Data is yours. Other Information is what makes the service run.
Account Responsibilities
When your organization uses Kira, you take on a set of administrative responsibilities that come with running a team account. These are not bureaucratic formalities. They are practical obligations that protect your organization, your team members, and the people your agents interact with on your behalf.
Access Management
You are responsible for managing which team members have access to your Kira account and at what level. When someone leaves your organization, changes roles, or no longer needs access for any reason, it is your responsibility to remove or adjust that access promptly. An active seat belonging to a former employee is a security risk, not just an administrative oversight.
Policy Compliance
You are responsible for ensuring that everyone using Kira under your account understands and complies with our Usage Policy. If someone on your team uses Kira in a way that violates that policy, the account holder is accountable. We recommend making the Usage Policy part of your onboarding process for any team member who will be using the platform.
Agent and Integration Configuration
You are responsible for the configuration of any agents, automations, and integrations you set up within your account. Kira gives you powerful tools to automate outreach, manage workflows, and connect with external services. How those tools are configured and what they do in your name is your responsibility to oversee.
Data Ownership
As between your organization and Kira, you own your Customer Data and the outputs generated for you on the platform. We process your Customer Data only to the extent necessary to provide and support the Services you have subscribed to, as described in our Privacy Policy and, where applicable, your Data Processing Addendum.
We do not claim any rights over your content beyond the limited license necessary to actually deliver the Services. Your data is an asset that belongs to your organization, and we handle it with that in mind at every level of the platform.
We do not use Business Customer content to train, fine-tune, or improve our AI models under any circumstances. This is an absolute commitment, not a default setting that could be changed by a buried checkbox somewhere in your account settings. Model improvement at Kira is performed exclusively on data that has been explicitly contributed for that purpose. Your organization's emails, documents, call transcripts, and any other content you create or submit through the platform stay entirely outside that process unless your organization makes a deliberate, informed decision to participate.
Third-Party Integrations and Where Our Responsibility Ends
Kira connects with a range of third-party services including Gmail, Slack, Outlook, Zoom, and others to help your team work across the tools you already use. When you enable one of these integrations, some of your data necessarily flows to that third-party service in order to make the connection work. That is the nature of integration.
Once your data reaches a connected third-party service, that service's own terms of use and privacy practices govern what happens to it. Our policy does not follow your data into another company's platform. We are not responsible for how a connected third-party service uses, discloses, stores, or handles data once it has been shared with that service as part of an integration your organization has chosen to enable.
This is not a loophole. It is a straightforward acknowledgment of how integrations work across any platform. We would encourage you to review what any third-party service actually does with the data it receives before enabling it, the same due diligence you would apply before connecting any external tool to your internal systems.
Sub-Processor Changes
If we add a new sub-processor that will process your Customer Data, we will provide you with advance notice before that change takes effect. We will not quietly expand our sub-processor list and hope you do not notice.
If you have a reasonable, good-faith objection to a new sub-processor, you can raise it with us within a reasonable period after receiving notice. We will work with you to find a resolution, whether that means adjusting your configuration to route around the new sub-processor, exploring an alternative arrangement, or finding another reasonable accommodation. We take these objections seriously because your data governance obligations are real, and we want to be a partner in helping you meet them.
Acceptable Use
All of the prohibitions and requirements set out in our Usage Policy apply equally to Business Customers. Using Kira commercially does not create exceptions or additional flexibility around what the platform can be used for.
As a Business Customer, you carry an additional layer of responsibility beyond what individual users hold. You are accountable for ensuring that your organization's use of Kira, including everything your agents and automations do on your behalf, complies with the laws and regulations of every jurisdiction in which you and your customers operate. This includes but is not limited to data protection laws, anti-spam regulations, telemarketing rules, and sector-specific compliance requirements relevant to your industry.
Confidentiality
Both parties recognize that the relationship between a business customer and a service provider involves the exchange of sensitive information that neither party would share publicly. Each party agrees to protect the other's confidential information with at least the same level of care it applies to its own most sensitive information, and to use that information only for the purposes of performing under the agreement.
For your organization, this primarily covers your Customer Data and any non-public information about your internal operations that you share with us in the course of using the platform or seeking support. For Kira, this covers our non-public product roadmap, security architecture, and technical systems information. Both sides have something to protect, and we treat this obligation as mutual.
Availability and Support
We build and operate Kira with high availability as a core requirement, not an afterthought. Our infrastructure is designed so that individual component failures do not bring the platform down, and our team monitors for issues around the clock so that problems get addressed the moment they arise rather than sitting unattended.
We will not materially decrease the core functionality of the Services during your active subscription term without providing reasonable advance notice. If we need to make changes that would meaningfully affect how you use the platform, you will hear about it before it happens, not after.
Business Customers on eligible plans may receive a Service Level Agreement with defined uptime targets and support response time commitments. Contact our team to discuss what is available under your plan. Support is provided through the channels associated with your subscription tier.
Billing and Renewal
Subscriptions renew automatically at the end of each term you have selected unless you cancel before the renewal date. Usage-based charges, such as call minutes or generation credits consumed during a billing period, are calculated and billed in arrears after the period concludes.

How We Handle Problems
If we have reason to believe your use of Kira is violating this policy or our Usage Policy, our default approach is to come to you directly first. In most cases, that means asking you to address a specific issue, removing particular content, disabling a specific integration, or adjusting a configuration that is causing a problem. We prefer targeted resolution over broad action wherever it is practical.
We will step in more directly only in situations where you do not take appropriate corrective action after being contacted, or where we assess that there is a credible and immediate risk of harm to the platform, other users, third parties, or to us. Enforcement at that level is a last resort, not a first response, and we will always attempt direct resolution before escalating.
Termination and Data Export
When your subscription ends, whether through cancellation, non-renewal, or termination, you have a 30 day window to export your Customer Data from the platform. We will not delete your data the moment your subscription concludes. You will have time to retrieve what belongs to your organization before our retention processes take over.
After the 30 day export window closes, your Customer Data will be deleted in accordance with our standard data retention practices.
